Why a hotel PMS can't run your PG

PG and hostel operations are a different data model, not a different skin. Inside AXOIX they are separate tables and separate workflows, sitting under the same Hotel vertical so a mixed estate stays on one login.

Beds, not rooms — inventory is the bed. A room carries a sharing type and a bed capacity, and every bed holds its own monthly rate, so a three-sharing room prices differently from a two-sharing one.

Months, not nights — billing runs on a monthly cycle you set per tenant: calendar month or joining anniversary, prorated on move-in and move-out.

Tenants, not guests — a tenant record carries guardian details, occupation, college or employer, permanent address, ID proof, deposit, contract and notice period. A guest record carries none of that.

A lifecycle, not a checkout — tenants move through pending approval, active, notice period and vacated. Rent, deposit and occupancy all follow that state instead of a check-out button.

Bed-Level Inventory

Rooms carry a sharing type and bed capacity, and beds are generated from it. Each bed holds its own monthly rate and a nightly rate too, so backpacker hostel dorms and long-stay PG beds live in the same inventory.

Monthly Rent Runs

Generate rent for the whole property in one run, or for a single tenant on their own cycle. Rent, meals, electricity, water, laundry, internet, late fees and discounts land on one monthly bill you can edit, void or regenerate.

Electricity & Water Sub-Metering

Enter meter readings per room and AXOIX splits the units by day-level occupancy, so a tenant who moved in on the 18th pays for 13 days, not the month. Usage that surfaces after a period closes is recovered as a top-up instead of being written off.

Deposits, Collected and Settled

Set a default deposit, or one per sharing type, collect it against the tenancy, then settle it formally on vacate — deductions itemised, balance refunded, and the whole transaction posted to your books.

Notice Period by Sharing Type

Sub-metered electricity, split by the day

This is the bill that causes the most arguments in an Indian PG, and the one most software gets wrong. AXOIX bills it the way the meter actually behaves.

  • Per-room meters — record opening and closing readings for each room, each billing period.
  • Occupancy-weighted split — units are divided by tenant-days rather than headcount, so partial months are fair and provable line by line.
  • Top-up recovery — a reading that lands after the period closed is charged as an electricity top-up on the next bill instead of being absorbed.
  • Three billing modes — meter it per room, enter it manually, or include it in the rent. Water bills independently on the same three modes.

A tenant portal that does more than show a bill

Portal access is invite-only and owner-approved. You approve, decline or revoke it per tenant, so nobody sees a portal you did not open for them.

  • Pay rent online — card, netbanking and UPI through Razorpay, or claim a direct UPI transfer with its UTR for you to verify.
  • See the full bill breakdown — rent, meals, electricity units, water, late fees, and every part payment made against it.
  • Give notice from the portal — dated, idempotent, and reflected on your dashboard immediately.
  • Track the deposit ledger — what was collected, what was deducted, and what is refundable.
  • Check today's meals, the amenity list, and their own visitor history.

What AXOIX does not do yet

We publish our gaps because you will find them in week two anyway. Everything above is in the shipped product. Everything here is not.

  • KYC is document capture, not verification. Tenants upload ID proof and the numbers are stored encrypted, but there is no Aadhaar, DigiLocker or third-party identity check in the loop.
  • Rent and notice reminders go out by email only. WhatsApp and SMS reminders for PG tenants are not wired up yet, though the platform's WhatsApp inbox exists for conversations.
  • Curfew time, gate pass and visitor approval are settings you can record, not workflows the system enforces. There is no gate-pass issuance or approval queue.
  • Tenant complaints are raised through the general customer portal ticket system, not a PG-specific complaints module.
  • There is no native mobile app. The staff dashboard and the tenant portal are mobile-responsive web.

PG and hostel software questions, answered

Is AXOIX a separate product from your hotel PMS?

No. PG, hostel and co-living run inside the Hotel vertical, but on their own data model — beds instead of rooms, tenants instead of guests, monthly bills instead of nightly folios. You sign up under Hotel & Hospitality and choose PG / Co-living in the setup wizard; the dashboard then hides the hotel-only tools you will never use, like night audit and channel manager.

Can I run a PG and a hotel on the same account?

Yes. Property type is set per property, so one account can hold a lodge, a PG and a hostel at once. The navigation adapts to the mix — a PG-only account never sees front-desk tools, and an account with both sees both.

How does AXOIX split the electricity bill between tenants?

You record opening and closing meter readings per room for the billing period. AXOIX divides the units by tenant-days rather than by headcount, so someone who occupied the bed for 13 days of the month pays for 13 days. If a reading arrives after that month's bills are closed, the difference is charged as a top-up on the next bill instead of being lost.

Can tenants pay rent themselves?

Yes, once you approve their portal access. They can pay by card, netbanking or UPI through Razorpay, or transfer by UPI directly and submit the UTR for you to verify. Both routes update the bill and post to your books.

What happens when a tenant gives notice?

Notice can be given by you or by the tenant from their portal. The tenancy moves to notice period, the vacate date is calculated from the notice length set for that sharing type, and reminders fire ahead of it. On vacate the deposit is settled, the final bill is prorated, and the bed returns to inventory.

Do you handle security deposit refunds?

Yes, as a formal settlement rather than a note in a diary. You itemise deductions against the deposit record, refund the balance, and the entire transaction posts to double-entry accounting with the matching voucher.

Can people book a bed from my website?

Yes. Your PG gets a public website showing real bed availability, filtered by move-in date, sharing type, AC and rent. A booking arrives as a request with the bed held, and you approve or reject it — a pending request never bills and never counts toward occupancy.

Does it handle mess and food?
