Where a PG Tenant's ID Proof and Signed Agreement Actually Live (Not a Drawer)

Every PG tenant arrives with paperwork — a photocopy of an Aadhaar or PAN card, sometimes a signed rent agreement, occasionally a guarantor's letter. In most PGs that paperwork lives in a physical folder, in a drawer, findable only by whoever put it there. Here's the alternative.

Quick answer (for the impatient)

  • ID proof and agreements attach directly to the tenant's record — not a separate folder, not a separate system to remember.
  • Anyone with the right access can pull up a tenant and see their paperwork instantly — no drawer, no "whoever filed it knows where it is."
  • This uses AXOIX's existing document system — the same one used elsewhere on the platform, not a bespoke PG-only uploader.

The folder problem

Physical tenant paperwork has a specific, quiet failure mode: it's fine until the one time you actually need it under pressure — a dispute, a police verification request, a guardian asking for proof of what was agreed. That's exactly when "it's in the folder somewhere" stops being good enough, and exactly when the person who knows where the folder is happens to be unavailable.

None of that is a hypothetical — it's the normal operating risk of storing identity documents and legal agreements as loose paper with no backup and no index beyond memory.

What actually gets attached

ID proof and a signed rent agreement — or any other document relevant to that tenancy — upload directly against the tenant's own record. There's no separate system to check, no cross-referencing a filing cabinet against a spreadsheet row; the document lives exactly where the rest of that tenant's information already lives. This runs on the same document system AXOIX already uses across the platform, not a one-off PG feature bolted on separately.

Where AXOIX is honest about its limits

  • No automatic ID data extraction. You upload the document as a file; the system doesn't read the ID number or name off it automatically — that's still typed in separately as tenant data (and, as covered elsewhere, those specific fields are encrypted at rest).
  • No document expiry reminders. If an agreement needs renewal on a schedule, that's not tracked automatically here — distinct from the rent and notice-period reminders covered separately.

FAQ

Can I upload a tenant's ID proof and rent agreement?
Yes — both attach directly to the tenant's record.

Does it read the tenant's ID number automatically from the uploaded document?
No — the document is stored as a file; ID details are still entered as data separately.

Is this a separate PG-only document system?
No — it uses AXOIX's existing platform-wide document system, applied to the tenant record.

The bottom line

The question isn't whether you keep tenant paperwork — every PG does. It's whether that paperwork is findable in ten seconds by whoever needs it, or dependent on one person remembering which drawer. Attaching it to the tenant record answers that question before it's ever asked under pressure.
